A forwarder sends incoming messages onward; an autoresponder sends a reply to the sender. Neither guarantees that a staff member has read the enquiry.

Configure the right behaviour

  1. Decide whether the address needs a mailbox, forwarding, an automatic reply or a combination.
  2. In Forwarders, select the exact source address and confirm the destination with its owner.
  3. For absence replies, use Autoresponders and write a short message with realistic response expectations.
  4. Review available timing and interval settings. Remove outdated replies after the absence ends.
  5. Test from an external address and verify both delivery and the reply content.

Avoid loops and disclosure

Do not forward two addresses to each other. Avoid autoresponders that trigger other automatic responders indefinitely. Consider whether forwarding business messages to a personal mailbox fits your privacy and record-retention practices.

A local mailbox may continue storing messages even when copies are forwarded, depending on the setup. Monitor its quota. Forwarding can also affect authentication outcomes at the receiving service; investigate rejected forwarded mail rather than repeatedly adding destinations.

Do not put private travel details or internal mobile numbers in an automatic reply unless they are approved for every sender to see. Keep a documented owner for each public-facing address.
